Coordination before shipment
Who this service is for
Buyers whose shipments involve three or four companies that have never spoken to each other, and first-time importers who don't yet know what each document is for.
Problems this solves
- An invoice, packing list and bill of lading that don't match on quantity, weight or description.
- An Incoterm agreed informally, so nobody knows who pays for what at the port.
- Cargo ready with no booking, or a booking for cargo that isn't ready yet.
- A documentation error discovered at destination, when fixing it is expensive.
Services
- Clarify the Incoterm (for example FOB, CIF or DDP) in writing, so cost and risk are split explicitly before the goods move.
- Check that the commercial invoice, packing list, bill of lading or air waybill, and certificate of origin are consistent with each other and with the goods.
- Coordinate cargo-ready dates with the factory and the booking with your freight forwarder, or with one we get a quote from.
- Attend or coordinate a loading supervision when the risk justifies it, and photograph the loaded container.
- Keep a shared calendar so everyone is working from the same dates.
What we're not
We are not a freight forwarder, carrier, broker or customs agent, and we don't present ourselves as one. We coordinate the people who are. Your customs broker handles classification, duties, taxes and clearance in your country; the carrier is responsible for meeting the transit time it quotes. Damage in transit is a matter for cargo insurance.

Export coordination questions
Do you arrange the transportation?
We coordinate with your freight forwarder, or request quotes from several forwarders and you hire the one you choose. The transport contract is between you and them.
Which Incoterm should I use?
It depends on how much of the journey you want to control and on your customs broker's preferences. We'll explain the options for your specific shipment, but we won't decide for you.
How long does the shipment take?
It depends on the mode, the route and the season. Any range shown on this site is the carrier's estimate, not a commitment. The transit time for your shipment is confirmed in writing with the quote.
